Vodafone Portugal purchased the GIO Mailroom solution from The Mail Company, a Spanish company specialized in consulting and solutions for digital transformation and document logistics, with the aim of achieving greater efficiency in the processes of managing incoming and outgoing document and order flows. By purchasing this solution, it acquired both the Mailroom services and the GIO technology platform at its facilities managed by PreZero Portugal, Vodafone’s auxiliary services administrator.
Paperless
The implementation of this Mailroom solution covered the automation and digitization needs of Vodafone’s automatic notification services and processes, thus achieving better internal organization, better communication with users and increased efficiency, in addition to reducing impact of the activity on the environment thanks to “Paperless” technology.
GIO Mailroom
The Mail Company’s GIO Mailroom solution consists of a professional system for the receipt, registration, arrival notifications and physical distribution of the documents/packages received by the company. Using a mix of technology, methodology, management model and 100% customizable human resources, it allows, among other capabilities, to know in real time the arrivals of pending deliveries or to consult the activity history, as well as a comprehensive traceability of all incoming and outgoing documentation/orders.
GIO Platform
Precisely, the key factor behind Vodafone’s decision was the features of The Mail Company’s GIO technology platform which, among other things, allows an incoming delivery to be registered in less than 15 seconds and automatically sends a notification to the recipient, enabling distribution rounds and resources to be optimized.
GIO platform customization
The implementation process, carried out by the Mail Company’s team of experts in Portugal, has involved both Vodafone Portugal and PreZero Portugal and has focused specifically on an initial consultancy phase to collect the project’s requirements and objectives, the training of the PreZero Portugal team and the customization of the GIO Technology Platform, incorporating, at the customer’s request, an automation system for the notification process and adapting the arrivals module for the management of the internal warehouse (arrival registration, inventory and delivery of material to users).
