Vodafone Portugal adopts The Mail Company Mailroom

Vodafone Portugal has purchased Mailroom 2.0 from Spanish digital transformation and document logistics specialist provider The Mail Company in order to increase the efficiency of the management of its incoming and outgoing documents and orders. Mailroom 2.0 brings with it not only Mailroom service but also access to The Mail Company’s GIO platform for Vodafone’s facilities managed by PreZero Portugal, the manager of Vodafone’s support services.

 

The implementation of the Mailroom solution in July 2021 delivered the required automation and digitisation of Vodafone’s services and processes for automatic notification, achieving improved internal organisation, improved communication with users and increased efficiency, and reduction of the environmental impact of the business thanks to the introduction of paperless technology.

 

The Mail Company’s Mailroom 2.0 solution consists of a professional system for the receipt, recording, notice of receipt and physical distribution of documents and packages received by the business. Through a mixture of technology, methods of working, management model and completely customisable staffing the business has the capacity to, among other things, have real-time information about the receipt of scheduled items and to check the mailroom log and ensure the traceability of all incoming and outgoing documents and orders.

 

In fact, the key factor for Vodafone’s decision was the functionality of The Mail Company’s GIO platform whose capabilities include recording receipt of an item in less than 15 seconds and sending automatic notifications to addressees, and optimisation of delivery rounds and resources.

 

 

Customisation of the platform

The roll-out process carried out by an expert team from The Mail Company in Portugal involved Vodafone Portugal itself and PreZero Portugal. The process consisted of an initial phase of information-gathering to determine the requirements and objectives for the project, the formation of the PreZero Portugal team and the customisation of the GIO Platform with the addition of an automatic notification system and modification of the receipt module to manage internal stocking (receipt log, inventory and delivery of material to users) at the customer’s request.
